Use Syncplicity


 

Guide to Syncplicity Icons

  Files with this icon are up-to-date and safely backed up
  Folders with this icon are included in your Syncplicity account
  Folders with this icon are included in your Syncplicity account and shared with another user
  Files with this icon are either not up-to-date or not backed up

 

Add Folder

Adding a folder to your Syncplicity profile is the first step to get started. To add a folder to your sync:

  1. Right-click on the folder you wish to add, and select Syncplicity
  2. Click Add to Syncplicity
  3. Your folder should now appear with the Syncplicity logo - this means that your computer is now processing the initial sync

 

Add Same Folder Name

When different computers on a Syncplicity account each have a folder with the same name on the computer desktop, Syncplicity can manage the folders in several ways - the folders can be both merged together and kept separate.

 

Merge Folders

In some cases a user may have folders with the same name on two or more computers and wants the contents from each folder to stay in sync with one another. The steps below will keep the folders in sync on both computers

  • On the first computer:
    1. Click the Syncplicity icon in the System tray, then choose Manage and Share Folders
    2. Click Add a new folder
    3. Browse for the folder to be added, then click Add
  • On the second computer:
    1. Click the Syncplicity icon in the System tray, then choose Manage and Share Folders
    2. Click the folder to be added and select Add this Folder
    3. There will be a pop up box for Pick a location for this Syncplicity folder
    4. Click on Change location and locate the main folder where the folder with the same name exists
    5. Click Add Folder
    6. Respond Yes to the merge folder request
  • Repeat the steps 1-6 on the first computer

 

Keep Folders Separate

In some cases a user may have folders with the same name on two or more computers, but does not wish to have the folders sync with one another. The steps below will allow the folders to be added to all computers without syncing to each other.

  • On the first computer:
    1. Click the Syncplicity icon in the System tray, then choose Manage and Share Folders
    2. Click Add a new folder
    3. Browse for the folder to be added, then click Add
  • On the second computer:
    1. Click the Syncplicity icon in the System tray, then choose Manage and Share Folders
    2. Click Add a new folder
    3. Browse for the folder to be added, then click Add
    4. In the Manage and Share Folders interface, check the box next to the folder name from the first computer
    5. Set the location to a different place so that the folder does not sync to the same place as the folder from second computer
    6. Click Add Folder
  • Repeat steps 1-6 on the first computer

 Now both folders will sync, but because their destination locations are different, the contents will be kept separate on each computer.


 

Set Folder Location

When Syncplicity is first run, or a folder is added to a Syncplicity profile, other computers will be prompted to add this file. The computers can have the option to keep the default Syncplicity location or to customize the location

  1. To keep the default Syncplicity location, simply click Accept on the dilaloge box. Syncplicity will begin to sync the new file to the default location
  2. To change the location, click the Choose button and set your custom location, then click Accept

 

Change Folder Location

By default, Syncplicity will sync folders to a file path that looks like "C:\Documents and Settings\<username>\My Documents\Syncplicity Folders\<foldername>" You can change the folder path to sync similar folders (for example syncing iTunes music from one computer to another).  To change a folder location:

  1. Click on the Syncplicity icon in your system tray
  2. Select Manage and Share Folders
  3. Temporarily exclude the file from your sync by clicking the Exclude it link
  4. Select the folder by clicking the checkbox next to the folder name
  5. A dialog box will appear with the default location. Click Change location to customize the file path
  6. Click OK

Please keep in mind that the Change location link will be missing for each of the five default folders – Desktop, Documents, Pictures, Music, and Favorites, as these folders will automatically choose to sync to the direct locations.


 

Exclude Folder

To stop the sync process (but keep files in your Syncplicity account):

  1. Right click on the Syncplicity tray icon and select Manage and Share Folders from the menu 
  2. Click once on the folder you are removing, to select it and use the Exclude it command located on the upper right hand side of the view 
  3. Click OK, then click OK at the bottom of this view when you are done

This means that Syncplicity will stop monitoring a given folder for changes, but will keep the files (as is) in your Syncplicity account.


 

Exclude Subfolder

To stop the sync process of a subfolder (but keep the subfolder files backed up in your Syncplicity account):

  1. Right click on the Syncplicity tray icon and select Manage and Share Folders from the menu
  2. Navigate to the subfolder you would like excluded, then uncheck the box next to the subfolder name
  3. Click OK to confirm the exclusion of the subfolder.

 

Remove Folder

To stop the sync process (and remove uploaded files from your Syncplicity account):

  1. Right click on the Syncplicity tray icon and select Manage and Share Folders from the menu 
  2. Click once on the folder you are removing, to select it and use the Remove Folder command located on the upper right hand side of the view 
  3. Click OK to confirm that you want all uploaded files removed, then click OK at the bottom of this view when you are done. 

This means that Syncplicity is no longer watching a folder for changes and that the contents of the folder will be removed from your Syncplicity account.


 

Remove Subfolder

To stop the syncing process on certain subfolders within a synced folder and remove the contents from your Syncplicity account:

  1. Right click on the Syncplicity tray icon and select Manage and Share Folders from the menu
  2. Navigate to the subfolder
  3. Choose to exclude the subfolder by clicking the checkbox next to the subfolder name
  4. Go to the online file browser at my.syncplicity.com/files
  5. Navigate to the folder that contains this subfolder. The subfolder thumbnails should be shown in the larger right panel
  6. Hover over the thumbnail until the Syncplicity logo appears
  7. Click Move to Recycling Bin.

 

Sync with other computers

Once files are uploading from one computer, follow the steps below on your additional computers to add folders from your Syncplicity account:

  1. Download and install Syncplicity following the instructions at http://manual.syncplicity.com/Get-Started#InstallSyncplicity
  2. Configure this computer to match the settings of your current Syncplicity account
  3. You will be prompted to accept folders that had previously been uploaded to your Syncplicity account from other computers. Users can either Accept the folders to begin a sync or Decline the folder to not sync it to this computer
  4. If the folder has been accepted, the default syncing location will be in the /Syncplicity Folders subdirectory. Users can also customize this location
  5. The files will then begin to sync with the new computer. Once the initial sync is over, the files will be available at both locations. Any changes made to the documents on either computer will be replicated to all computers associated with this Syncplicity account.

 

Stop Sync

In some cases, you may want to stop a sync with a particular computer. Following the steps below will protect your data while allowing the removal of a computer from the sync process:

  1. From the computer being removed, exit out of Syncplicity by right clicking on the System tray and selecting 'exit' from the menu 
  2. Log into your Syncplicity Account by going to https://my.syncplicity.com/Account/ 
  3. Click on the computers tab and click Remove next to the computer that you wish to stop syncing.

 

Download Files (Web Client)

The Syncplicity web client allows users to download individual files to view, edit, and share.

 

  1. Log in to the Syncplicity web-based fileviewer at https://my.syncplicity.com/Files/ 
  2. Navigate to the file that you would like to download
  3. Move your mouse over the file until the Syncplicity logo appears 
  4. Click the logo and select download from the menu list 
  5. Download the file.

 

Branching

 

Cause of Branching

  • When two or more users are working on the same file
  • When a file is open or in use by a program on more than one computer
  • When first syncing two computers that have folders with the same file names, but different file content.
  • When one computer has been offline for an extended period of time, and edits to a document are made on the offline computer and the second computer.

When a file matches any of the above qualifications, Syncplicity will branch the file into additional files, which preserves the changes and additions made by each user. A Syncplicity user can review the branches, determine the most accurate and up-to-date version, and delete the versions that are outdated.

 

Preventing Branching

  • For single-user accounts, make sure to close any files or programs that are using Syncplicity before working on another computer
  • For multi-user accounts, check with your colleagues to make sure other users aren't editing the document at similar times.

 

Resolving Branches

  1. One on computer, open the folder that contains the branched files
  2. Additional files will now exist in this folder:
    1. The original, unbranched document
    2. Version 1, renamed to include the name of the computer on which the document was created/edited
    3. Version 2, renamed to include the name of the computer on which the document was created/edited
    4. Any additional versions that have been created by additional users or edits
  3. Review each of the documents to see which is the most current, or authoritative, version of this document
  4. Rename the version to be kept with the original file name (alternatively, copy data from the branched versions into the original file)
  5. Delete any versions of this document that are outdated.

 

Branching Defaults

Syncplicity does not branch the following files, as these files can branch automatically on different computers due to differences in data handling.

  • .url
  • .mp3
  • .m4p
  • .m4a

 

Exclude Files from Sync

You may wish to not have certain files synced to your Syncplicity Account. The steps below will allow you to set file type based exclusions:

  1. Open Windows Explorer and navigate to one of the files.
  2. Right click on the file and select Exclude from sync in the Syncplicity context menu.
  3. Check the second option to exclude all files on this computer that of the same type.
  4. Click OK.

Syncplicity works with each of the below file types. Please pay attention to size limitations (currently 2GB) of files being uploaded.

Uninstall Syncplicity

  1. Click Start
  2. Click Control Panel
  3. Click on Add or Remove Programs
  4. Find Syncplicity in your program list, then click Uninstall
  5. Repeat for any computers running Syncplicity
  6. Cancel any recurring billing and account at my.syncplicity.com/account

 

Reset Folder Setting

This will most solve issues related to files that has stopped syncing under a folder.

     1. Click on the Syncplicity icon in your system tray and select Manage and share folders

     2. Uncheck the folder you want to reset

     3. Click OK

     4. Recheck it back and click OK
