Share folder

When a folder is shared, the share recipient will receive a notification email. The email contains a link that will bring them to the shared folder on the Syncplicity website. From there, share recipients will be able to download and view the file on their computer. If they want to reap the full benefits of Syncplicity they should go ahead and finish the process by setting up an account. This will allow them to not only save the files to their computer, but also share any edits or changes they have made to the files back to you.

 

  1. Right click on the Syncplicity tray icon and select Manage and Share Folders from the menu. This opens the folder management view 
  2. Click once on the folder you would like to share in order to select it, then use the Share it with someone command to share the folder 
  3. Enter the recipients email address, click OK and then click OK again to save changes.

 

Sharing configurations

 

Readers

Readers can download, open, and view and documents placed in the shared folder, but they cannot save, delete, or modify and edited files over the folder contents.

 

Collaborators

Collaborators can change documents within the shared folder on their computer will reflect back to the original folder. Collaborators can edit files in the shared folder and replace the original. Any new files added by a collaborator will be added to the shared folder, and any deleted files will be deleted from the shared folder as well. 


 

Receive a Shared Folder

 

With a Syncplicity Account

Your share receipient will get an email notification which will link them directly to the folder at my.syncplicity.com/files. They will also receive a pop-up notification on their desktop asking them to accept or decline the folder download. If the share is accepted, they can accept the default shared folders location or customize their location of this folder. The files will then immediately download to their computer.

 

Without a Syncplicity Account

Your share recupient will get an email notification which links them directly to the folder at my.syncplicity.com/files through a special sharing account. At anytime, the user can go to the Account tab and finish setting up their account. This will allow a user to download Syncplicity on their computer and have the files be automatically synchronized.


 

Stop share

After content has been shared, the folder owner can choose to either stop sharing the content with individual users, or make the folder private again (remove all users):

 

Individual users

  1. Right click on the Syncplicity tray icon and select Manage and Share Folders from the menu. This opens the folder management view.
  2. Choose the file that is currently being displayed
  3. The right panel will display the users that are currently share recipients for this folder. Each user has a red "X" next to their email address 
  4. Click the X to stop sharing the folder with that particular user, and then confirm the removal 

 

All users

  1. Right click on the Syncplicity tray icon and select Manage and Share Folders from the menu. This opens the folder management view
  2. Choose the file that is currently being displayed
  3. To remove those users and make the contents of this folder private again, click on Make it private
  4. Confirm the change and make the folder private. 

 

A folder that has been unshared will remain on that person's computer, but it will no longer be monitored and synced by Syncplicity.


 

Share individual files

A shareable link allows you to share an individual file with an associate without the overhead (or the benefits) of the Syncplicity client. Please note that companies who have set their organizational policies to prevent files from sharing outside the company account will require a login on the shareable link.

 

To utilize the shareable link feature:

  1. Open a Windows Explorer window and navigate to the folder which contains your target file. 
  2. Right click on the file and select Get a shareable link from the Syncplicity menu. 
  3. Copy and paste this URL into your email message for your desired recipient.

     

Please keep in mind that there are a few downsides to the shareable link feature:

  • The end user will not benefit from the shared folder features.
  • They will have to follow the link every time they want to see a newer updated version.
  • Any changes the end user makes to the file will not be visible from the original author’s computer.

     

Conversely there are many benefits to using the shareable link feature:

  • The author does not have to worry about access to adjacent files in the same folder.
  • For a one time share it is quick and expedient. The recipient has no software to download and install, no account to set up.
  • One shareable link can be emailed to a number of recipients.
